Administrative Assistant

Job Title | Administrative Assistant to Sarah Covey,

Registered Psychotherapist and founder of Covey Wellness Centre

Location | Covey Wellness Centre, Elmvale, ON

​

Part-time | 20 hrs weekly with room for growth.

​

Role Overview | You will play a pivotal role in supporting the daily operations and strategic initiatives of Sarah Covey and Covey Wellness Centre. This position requires a passion for organization, technological confidence, innovative administration skills and a heart for people's health and wellness. You will need to efficiently manage administrative tasks, coordinate schedules, and provide exceptional support to Sarah and the wellness team.

Skills and Qualifications

  • Preferred Diploma, Bachelor’s degree or equivalent experience in a related field.

  • Preferred experience as in administration, assistant or similar role in a healthcare or wellness setting.

  • Exceptional organizational and time-management skills.

  • Strong communication and interpersonal abilities.

  • Visible character traits of teachability, integrity, and positive work ethic.

  • Proficiency and confidence with office software, client management systems, and virtual meeting platforms.

  • Ability to maintain confidentiality and handle sensitive information with discretion.

  • A proactive approach with the ability to work independently and as part of a team.

Team Collaboration & Support

  • Manage and organize Sarah Covey’s calendar, including scheduling appointments, meetings, and therapy sessions, using online software.

  • Handle phone calls, emails, and other forms of correspondence, ensuring timely and professional responses.

  • Prepare and manage client-sensitive documentation ensuring confidentiality and compliance with privacy regulations.

  • Act as the first point of contact for clients, providing them with a warm and welcoming experience.

  • Assist in client onboarding processes, including gathering necessary information and explaining the centre's services and policies.

  • Coordinate client appointments, follow-ups, and therapy session logistics.

  • Demonstrate confidence and expertise in using various online platforms and software relevant to the wellness sector, as well as having a willingness to learn and explore unfamiliar software. (Examples include Google Suite for Business, ConvertKit, Wix Website management, Client Database, Meta and more)

  • Manage and update the centre’s client management systems, ensuring accuracy and efficiency in record-keeping.

  • Assist with billing processes, invoice management, and financial record-keeping.

  • Oversee the procurement and maintenance of bookshop inventory, office supplies and therapy spaces.

  • Assist in organizing wellness workshops, seminars, and events, including logistics, marketing, and participant management.

  • Occasional coordination with vendors, speakers, and other stakeholders to ensure successful event execution.

  • Work closely with other staff members to ensure a harmonious and efficient work environment.

  • Assist in the development and implementation of wellness centre initiatives and programs.

  • Provide general support to the Psychotherapist in various research, outreach, and developmental activities.

Working Conditions |

This role may require flexible working hours, including some evenings or weekends, to accommodate the Psychotherapist’s schedule and centre events.
